Job Summary
We are seeking a highly skilled Executive Business Partner & Office Manager to provide high-level administrative support to the Executive Leadership Team (ELT), with a strong focus on calendar management and expense reporting for the CEO. In addition to executive support, this role will serve as the Office Manager for our Charlotte office, ensuring seamless day-to-day operations. This role will report directly to the Head of People and Culture and it requires 5 days in office arrangements.
Key Responsibilities:
Executive Support & Business Partnering
- Provide high-level administrative support to the ELT, with a special focus on the CEO’s calendar, travel, and expense reporting
- Schedule and coordinate CEO and ELT meetings, including those requiring multiple ELT participants
- Manage travel arrangements for the CEO and expense reporting for the CEO and direct reports
- Handle time-off requests and approvals for the CEO’s direct reports
- Act as a liaison between the CEO and key stakeholders, ensuring effective relationship management and communication
- Attend and take notes in staff meetings, track project milestones, and ensure completion of action items
Meeting & Event Coordination
- Plan and coordinate leadership meetings (quarterly) and weekly ELT meetings
- Organize and manage monthly All-Hands meetings and Q&A sessions
- Support skip level quarterly meetings and quarterly recognition program
- Lead planning and logistics for ELT off-sites, including strategic input for the December off-site
- Partner with the CEO to track key project milestones across the company
- Plan team-building events, maintaining a pulse on culture and executive team morale
Office Management (Charlotte Office)
- Oversee day-to-day office operations to ensure a productive and professional work environment
- Serve as the primary point of contact for office vendors, supplies, and facility management
- Support onboarding logistics for new employees in the Charlotte office, ensuring a smooth transition
- Coordinate office-related events, meetings, and team-building activities to foster engagement
Internal Communication & Project Management
- Draft and organize internal communications for the CEO, including announcements and key messaging
- Support cross-functional initiatives and special projects, ensuring execution from start to finish
- Take initiative on even the smallest projects and drive them to successful completion
- Provide additional support to the CEO and VP of HR as needed
Skills/Qualifications
- A highly organized, detail-oriented, and proactive professional with strong problem-solving skills
- Comfortable handling multiple priorities while maintaining discretion and confidentiality
- Skilled in executive-level coordination, relationship management, and office operations
- A self-starter who can anticipate needs and act with urgency to drive outcomes
- 3+ years experience providing direct administrative support to Executive level individual
- Incredibly detail-oriented with a creative working style
- Experience with building out programs a plus
- Excellent communication skills, both written and verbal
- Extremely proficient with Excel and PowerPoint
- Bachelor degree in business administration or equivalent preferred
